Release 21/06/18 – Customs Clearance (NZ) – Supplier’s Invoice (Also applicable to Shipper’s Invoice)

  1. Supplier’s invoice can be accessed by two ways:
    1. Via Import Job Screen (not currently functioning yet in beta version)
    2. Via Menu Option – Customs Clearance>Supplier’s Invoice
  2. When Users opens the supplier invoice screen, they need to Click “Find” toolbar button to find the job in Supplier’s Invoice.
    1. Click “Find” in tool bar button and screen below will pop up.

    2. Enter “Job Number”, “Invoice No” or any search field/s to allocate the job in supplier invoice.
    3. When Job number is allocated in supplier invoice, the following screen will display

  3. Users need to click “Add” (in the screen above) to create the supplier invoice for the job.
    1. Users need to fill out the fields in both Invoice Header tab & Lines tab.

    2. Invoice can be entered with the following 3 ways
      1. Enter Manually in Supplier’s Invoice Screen
      2. Via “Load Invoice File” toolbar option (in Update mode)

3.  Via Sundry -> Down Load Data Files -> Load Import Invoice File

  1. If the invoice is loaded via load process, when users click the Invoice No Zoom button, the available loaded invoice will populated in the pop-up screen for selection.

5. In view mode, User is able to view the summary of Header Qty V.S. Line Qty and Header invoice value v.s. total Line Value.

1. If users click the job in the navigation bar, the summary display is the total summary for all invoice in the job.

2. If users click the invoice line in the navigation bar, the summary display is the summary of the invoice only.

3. If there is no discrepancy between the header and line, the summary will display in white background (i.e. Summary of Qty). If there is discrepancy between Header and line, the background colour will be in red (i.e. Summary of Value).

  1. In view mode, Users are able to do the following:

View Multiple Invoices Simultaneously

  1. If a job has multiple invoices, clicking on the job folder in the navigation pane will display the consolidated invoice lines across all invoices

Invoice Options Pane

  1. Copy Supplier invoice to destination job.

  2. Delete Supplier Invoice

Line Filters Sections

  1. Show Unclassified Line – display only the line/s with unclassified parts
  2. Show Missing Required Data – display only the line/s with required data missing.

  3. Users are able to customs filter configuration by clicking Edit in Line filters section to filter the lines by customised criteria. i.e. Country of Origin = AU, Duty Rate = 5% etc.

Classify Parts:

  1. Users can classify parts by the following ways:
    1. Click “Unclassified Parts” in toolbar to classify party manually.

    2. Users are also able to Run “Unclassified Part” Report from Print Menu Option and reload it back to Expedient with TLF.
      1. Load Part File can be accessed via
        1. Supplier invoice>Load Parts File (Toolbar)
        2. Supplier invoice>Load>Load Parts File
        3. Sundry>Down Load Data Files>Load Parts File

Upload “Unclassified Parts” File

  1. Users are able to just add TLF in “Unclassified Parts” report generated from supplier’s invoice and load the file via “Load Part file” function (Select “Unclassified Parts” Template in Part file Load function) to register parts into Part Masterfile.

  1. In Update Mode, users are able to do the followings:
    1. Load Invoice file – Upload invoice file to supplier invoice.
    2. Mass Update – Update all invoice line with a unique value. (i.e. Update Preference from NML -> AU)

Line Field Access

  1. Users can click “Allow Full Access” button to unlock all available locked fields
  2. Alternatively, users are able to use “Custom Configuration” button to unlock selected locked fields.

Line Filters

  1. Users are able to access this function in both update and view mode. (Refer to Line Filters in View mode)

Reset Options

  1. Users are able to reset the invoice line to the default. (ie. If country of Origin in part Masterfile is AU, but users change it to US. When Reset is clicked, it will be changed back to AU.
  2. Alternatively, users are able to use “Custom Reset” to specify which field to be re-set by clicking Edit in Reset Options section.

Charges Code:

  1. A List of break-down items are available for users to enter in invoice header level and/or Invoice line level.

Codes:

  1. Code are able to enter in the line level as required.
    1. Code can be populated from Part Masterfile is registered or manually entered by users in supplier invoice.
    2. Source field in Code tab will indicator if the code is from Part or manual entered.

Customs Quantity:

  1. There are two kinds of Customs Quantity may require to be entered – Statistical Qty & Supplement Qty. The field are only allowed to enter if the Statistical/Supplement Unit displays. Users may allow need to click “Allow Full Access” to unlock the field.

New Features:

  1. New features available in TSW Supplier Invoice.
    1. Multiple invoices will display in one screen.
    2. Validation Button is available to do validation check when supplier invoice is completed.

    3. Use TLF in Supplier invoice for classification without creating a new part in Part Masterfile.
      1. Enter part number and description
      2. Enter TLF directly in the TLF field without using “Classify Party” toolbar button to register the part in part masterfile.
      3. This system option can also be turned off by Expedient Support if any site doesn’t need the function.
    4. Reset selected fields to default value.
    5. Mass Update invoice lines with a new value.
    6. Lock and Unlocked selected fields as required.
    7. Filter invoice lines as required.
    8. The new supplier invoice can handle multiple Currencies. (i.e. Goods are charged by USD, but the freight is charged by NZD).
    9. Users are able to specify “Commission”, “Royalty” and other charges and save in supplier invoice.

    10. Multi-job Supplier invoice is available. Users are able to combine multiple jobs and lodge a multi-job import declaration/Supplier Invoice.

    11. Charges can be apportioned by Weight, Volume or Value.
    12. Charges are able to enter in Invoice header and line level as required.
    13. System is able to handle the charge items already included in invoice and/or invoice line and automatically calculate the customs value in NZD.
    14. Users are able to save the supplier invoice if there is a validation error and fix up the error later on. (i.e. if Statistical Quantity is missing, users are able to save the supplier invoice and add Statistical quantity later on.)
    15. Invoice Listing and Invoice/Declaration Line Report will be available in Supplier invoice.
