Release 130123 – Arrival Notice, 1-Stop Vessel ETA and Available Date Changes

Arrival Notice Changes: To print extra container information and display container headings.

The Arrival Notice Printed Document currently prints 9 Container numbers 3 rows of 3 columns showing the corresponding size, type and number of pieces (see below).

The arrival notice has been enhanced to include the Gross Weight against each container and now includes headings against each container and the relative fields (see below).

Please Note: The new arrival notice prints 2 columns of 4 rows.

1-Stop Vessel and Available Dates: Fix issues with existing process.

Issue 1: Incorrect Vessel Available Date

Currently 1-Stop sends Expedient a file of Vessel Available Dates. The date that is sent is ONLY the first available date which is what Expedient uses to populate the Available date in the Vessel Masterfile and is used in the Job Registration Screen. This date is actually the first available date (NOT the first FREE date), so this is technically incorrect.

The change will now see the Vessel Masterfile show an extra 2 fields (First Free Date and Time). The existing date that is extracted from 1-Stop will be populated in this new field called 1st Free. This will then be populated in the job. (still technically incorrect)

Now What:

1-Stop have now got the option to send Expedient an extra date which is the First Available Date. This is the date that most people are actually looking for. Once this is turned on then Expedient will populate this new date into the First Free Date and Time and this date will be used in the Job Registration, whilst the existing date from 1-Stop will populate the First Available Date.

For the above to function, your Customer Representative for 1Stop will be required to ask for this extra date to included in the CSV File. This is known as the “First Free Import Date”

Issue 2

Incorrect or Missing ETA Dates. On occasion 1-Stop report incorrect Arrival Dates for a port or do not report arrival dates for a port at all, e.g. Adelaide.

The current Expedient Process assumes all ETA dates are correct based on 1-Stop and will update the Vessel Masterfile and Import Job Dates accordingly. This causes issues where a user has manually overwritten the ETA Date against the job because the Expedient 1-Stop process will simply override that date with the incorrect 1-Stop date the next time it runs.

Resolution:

Users now have the ability to alter the ETA against the Arrival Port in the Vessels Masterfile. Once this date is altered, it is flagged by the Expedient 1-Stop process to NOT override this date in the Vessel Masterfile and the ETA Date against the consol job.

In the below example the user Taniab has changed the ETA for Melbourne from the 1/1/2013 (as reported by 1-Stop, to 03/01/2013 (the correct date). This date will now be used in the Consol and Job Registration Process and will continue to use this date instead of the 1-Stop date (if that date is different to the 3/1/2013).

Users can also manually add a new Port and Estimated Arrival Departure Dates to a Vessel in the Vessels Masterfile (if 1Stop has not reported it, e.g. Adelaide. This new port and date will then be used in the above Ships Process (see below date for AUFRE which has been added manually)

Adding Actual Arrival and Departure Date and Times to Vessel Masterfile:

1-Stop now sends Expedient the Actual Arrival Date and Time along with the Actual Departure Date and Times.

The Vessel Masterfile has been amended to display these dates. (See Below)

When the Actual Arrival or Departure Date and time is received into Expedient, the Expedient 1-Stop process will create Actual Arrival/Departure Events against the relevant job, see example below:
