Release 130501 – Order Tracking – Web User type and Country/Port Definition

This release provides the ability to define the type of Web Portal access granted to a Web User and allows configuration of the countries and ports they are associated with to refine their access and receipt of email notifications.

Web User Type

Web Users are now defined as one of three types in the Order Tracking>Web User Parameters screen.

Web User Type Purpose
Client

 

Granted to the Personnel at the Client company.  Client type web users will be able to access the information regarding imports for their company only where their company is the client.
Overseas Agent

 

Granted to the Personnel at the Overseas Agent company.  Overseas Agent web users will be able to access information for imports where they act as the overseas agent regardless of client.
Administrator

 

Granted to Personnel at your own site to monitor the Web Portal for multiple Order Tracking clients, e.g. an Account Manager for a selected group of Order Tracking clients.

 

Restricting Access and Notifications by Country and Port

A view of order information can be further restricted for Clients and Overseas Agents by defining the Countries and Ports the web user is associated with.

Clients

Order Tracking email notifications sent to clients on add or updating orders can be directed to the correct client contacts by defining which destination countries and destination ports the client contact is associated with in the Personnel Masterfile.  A new tab, Client Ports, has been added to the Personnel Masterfile where the client is configured for Order Tracking.  The following scenario is now possible

A message regarding an update to Order 123 for client DEMCON which has final destination in Melbourne would be sent to the following Order Tracking contacts at DEMCON

  • Contact A who is associated with orders into Australia
  • Contact B who is associated with orders into Melbourne
  • Contact C who has no associated country

Contact D at DEMCON does not receive an update as they are associated with orders into Sydney only.

 

Overseas Agents

Web Users with type Overseas Agent will only be able to access information for imports where they act as the overseas agent.  This access can be further restricted to the origin countries and origin ports the web user is associated with.  A new tab has been added in the Order Tracking>Web User Parameters screen for Overseas Agent, Overseas Agent Details.  This screen allows the following scenario:

  • A Chinese Overseas Agent web user in Shanghai will only be able to see the orders with Origin port Shanghai but his Manager is able to see all orders originating in China.

Order Tracking notifications have also been updated for Overseas Agents so that notifications are only sent to the relevant Overseas Agent contacts associated with the origin country and port.

A new tab, O/S Agent Ports, has been added to the Personnel Masterfile where the Overseas Agent is configured for Order Tracking.  The following scenario is now possible.

  • A Chinese Overseas Agent web user in Shanghai will only receive order tracking email notifications for orders with Origin port Shanghai but his Manager will receive all order tracking email notifications for orders originating in China.

 The  button in the Order Entry screen will now list all the Personnel at the Overseas Agent that match the mode (Sea/Air) and the origin country and port for the order.
