Release 07/08/13 – Administration – Client Document Register

This release provides the ability to store a register of documents and permits that you have on file for your client, checks for missing Letters of Authority and automatic population of the Packing Declaration in the Documents screen.

The Client Document Register is available from the Options menu in the Customer Masterfile for your client.

This screen allows you to list several types of document, their validity dates and any notes associated with the document. The documents include the AU Customs Advice/Permit ACS documents that were previously accessed from the Permits/Advice option in the Customer Masterfile screen.

The screen will show the number of valid days remaining and each document can be set to active or inactive.

The CP Question Number and Permit Number fields will be displayed at AU sites and will display the Permits that have been entered for Clients within the AU Parts Masterfile or within the TLF Maintenance screen if your site is storing Permits.

The documents registered for the Client where a Supplier is specified can also be viewed from the Supplier Masterfile. A new table has been added to the bottom of the screen to provide a view of all the documents stored for the Client and Supplier.

Any updates to this information must be made in the Client Document Register screen which can be easily accessed by double clicking on a row in the table in the Supplier Masterfile.

Document Register Masterfile

The types of documents available are maintained in the Administration>Document Register Masterfile screen.

 

Additional document types can be added in this screen using the button. Duplicate codes cannot be added but you can rename document types and you can make inactive the document types that you do not want to store for your clients. If a document type is make inactive in this screen the document will be made inactive in your Client Document Registers.

Letter of Authority Check

A warning that a Letter of Authority has not been received for a client can be shown when a Job is registered where you are the Broker and a Letter of Authority is not in the Client Document Register.

 

This check will be made when jobs are added in the Import Job Registration screen, when the ‘Copy Job’ function is used and when Jobs are created from EDI Manifests. If you would like the facility to warn users when a Letter of Authority has not been received for a client please contact Expedient Software by raising a Support Ticket.

 

Missing Letter of Authority Autoreport, MISSLOA

A new Automatic Report, MISSLOA, is available which will list all clients with jobs registered within a defined period of days, e.g. within the last two weeks, where the client does not have a Letter of Authority in their Client Document Register.

The XLS report will list the department, branch and contact details for each client.

 

FCL and LCL Annual Packing Declaration Check

The Document Screen available from the AU and NZ Import Job Registration screen has been updated to check if your client has an Annual Packing Declaration for LCL or FCL shipments. The Required and Received tickboxes will be automatically ticked if the ETA Destination date for the Job is within the validity range for the Annual Packing Declaration Documents, LAP and FAP, for your client and their Supplier.

E.g. This client has a LAP document type for their Supplier 1008 which is valid for the ETA Destination date in job number 3001252

Within the Documents Screen from the Options menu in the Import Job Registration screen the tickboxes for the Packing Declaration will be automatically ticked when the Job is created
