Release 07/07/21 – Document EDI – Sending Document XML from Expedient

This release includes the ability to send documents from Expedient to parties on Jobs and Consols

The new Messaging option, Document EDI, can allow multiple documents that are stored against Jobs and Consols to be sent as separate XML files

Document EDI can also be linked to Manifest EDI so that outbound Manifest XML can be followed by a selected set of Document files

Setting up outbound Document EDI

Administration -> Interface -> EDI Configuration -> EDI Configuration stores the Document EDI set up

Where your site stores documents to a Documents tab in Jobs and Consols, a Document EDI option is displayed in the EDI Configuration screen

  1. Select the type of Trading Partner you want to send Document XMLs to
  2. Set the Document EDI to Yes
  3. Select the Trading Partner you are sending Document XMLs to
  4. Enter the reference in the file that identifies who is receiving the file.  This will default to match the Trading Partner code above
  5. Go to Document > Outbound tab.  Set Send Document EDI to yes
  6. Enter a reference that will tell the receiver who the file came from
  7. Enter the type of trigger for sending the Document EDI.  See an explanation for each of the triggers below
  8. Where the trigger selected is either ‘Automatic’ or ‘Automatic and Manual’, select the set of documents pre-selected to include in Document EDI to the EDI Trading Partner
  9. Enter email addresses to receive notifications in the Error Alerts tab when Document XMLs cannot be sent to the required destination.  This is usually because the sftp details are not correct, or the write to directory location is not correct
  10. Enter the interface details in the File Transmissions tab

Document Selection Triggers

Manual – the Messaging > Document EDI option is in the Job or Consol screen and the Documents can be selected and sent from the screen

Automatic – the set of documents to be sent has already been selected in the EDI Configuration screen, so that the Messaging > Document EDI option in the Job or Consol screen will send the pre-selected documents, and no further documents can be added or removed from that list while in the Job or Consol screen

Automatic and Manual – the set of documents to be sent has already been selected in the EDI Configuration screen, and the Messaging > Document EDI option in the Job or Consol screen will send the pre-selected documents plus allow further documents to be added or removed from the pre-selected list while in the Job or Consol screen

Manifest EDI plus Document EDI

Outbound Manifest EDI can be accompanied by Document EDI when the Trading Partner is set up to receive both Manifest EDI and Document EDI

The Messaging > Manifest EDI options in Job and Consol screens will provide options to send Manifest EDI with or without Documents e.g.

On selecting Send with Documents, Expedient will generate and send the Manifest XML to the location stored in EDI Configuration, then Expedient will send the selected Document XML, one file per document, to the location stored in the EDI Configuration

Where the outbound Manifest EDI is triggered automatically, e.g. by ETD, and the trigger for Document EDI to the same Trading Partner is set to Automatic, when Expedient generates and sends the Manifest XML, Expedient will also generate and send the pre-selected list of Document XML, one file per document

Future development for Document EDI

In future releases Expedient will have the ability to load Document XML generated by Expedient and Cargowise, and save the documents to Jobs and Consols.
