Release 140910 – AU/NZ Accounting – Debtors (Batch Email Statements)

This release provides the ability to send End of Month Statements to Debtors by email in a single batch process. If you would like to use this option to email statements please contact Expedient Software.

Batch emailing is set Branch by Branch. The Branch Masterfile has been updated to allow Batch Emailing to be triggered by Users at that Branch only.

Debtors can be identified to receive batch emailed statements. When the batch process is run an End of Month statement will be sent to Personnel at each Client designated to receive statements. The Customer Masterfile, Debtor tab has been updated with a new section.

Set the Debtor to receive batch sent statements. Expedient will check and warn you if there are either:

  • no Personnel stored for the Debtor, or
  • no Personnel set to receive the Customer Statement Document Distribution Group, or
  • Personnel are set to receive the Customer Statements but have no email addresses

The option to batch send statements is in the End of Period Reports folder.

Before emailing the statements you can run a Report to check which clients will receive a statement. This is an updated version of the Debtors Aged Trial Balance Report.

Clients with ‘*’ indicate that although the client is marked to receive batch emailed statements there is no email address or personnel to receive the statement. The personnel at the client must be updated to ensure there is at least one email address to receive Customer Statements.

E.g.

When no clients have ‘*’ in the report select the Batch Filter if required then press OK.

Expedient will display a count of the clients to receive the statements. Click Yes to continue.

Expedient will email the statements to the clients and show the following message.

 

A log report will be sent to the email address identified in the Branch Masterfile. The log report lists the clients and the email addresses that were sent a statement during the batch send process, plus any clients that could not be sent a statement because no personnel were found to receive the statement, or there was no email address.

An event is generated each time a Statement is sent for the client in the Batch Email process. You can find the events in the Customer Masterfile from the Options list.

You can confirm to your Debtor when a Statement was sent and who it was sent to using this option and the button.

There is also a new Client Event Enquiry screen within Administration Reports.

 

You can use this enquiry screen to find all recipients of a batch process.

The Print Statements process has been updated so that you can exclude Clients that receive Statements by Batch Email from the print.
