Release 14/06/17 – Document Management – Client Documents

This release provides an update to the Customer Masterfile to show a Documents tab listing Documents associated with the Client.  The Documents tab replaces the Client Document Register.

This update is the next phase of the Document Management project and follows the appearance of the Documents tab in Job and Consol screens

The top half of the Documents tab is similar to the existing Jobs and Consols tab.  Document information that is currently stored in the Document Toolbar button,  will be listed in the table.  The documents can be assigned a Document Type in the same way Documents are added and assigned to the Documents tabs in the Jobs and Consols screens

This update means you will need the physical file when you add Documents to the Customer Masterfile, except for Australian Customs Permits.  This is a change to current functionality and should be considered before the Release Date.

I.e. Dragging and dropping the file will pop up the following Document Properties pop up screen

The zoom on the Document type field will show client level Document Types.  This list is determined by the Customer column in the Administration > Company Details Menu > Document Management > Document ID Masterfile screen

Where a Document Type is selected that has specific attributes, e.g. Supplier Code, validity dates, you can add and update this information in the Edit Document Properties window.  You can also add Comments

E.g. the Packing Declaration Document Type, PKD, will show a list of attributes in the Document Information table that can be added when the Document Type is assigned to the file

Client Document Register Migration to the Documents Tab

Documents that are currently in your Client Document Register will be moved into the Document Tab in the Customer Masterfile.  This includes the information stored for that document e.g. Supplier, validity dates and permit information.  This information will be displayed in the bottom half of the Documents Tab

Packing Declarations – Documents that you may currently have saved with FAP and LAP or APD document types will be updated to document type PKD, Packing Declaration. All FAP documents will be updated to PKD document type with job class attribute FCL, all LAP documents will be updated to PKD document type with job class attribute LCL.  All APD documents will be updated to PKD document type with job mode SEA and no job class.  The check in Import Job Registration for FCL and LCL jobs to look for a valid Packing Declaration for the client will continue.

Linking Documents – If you ‘unhide’ the Filepath column you will see that the filepath may display  ***FILE MISSING***.  This is because Expedient has not yet linked the Document information to a physical file.  If the physical files exist in the Client documents folder you will see them listed as ‘UNA’ in the Documents Tab.  Expedient allows you to link document information to the ‘UNA’ files with a link button, 

e.g.

The below Customer Masterfile shows that Expedient is storing information about a Customs Import Permit but the physical file is missing.  There is also an Unassigned Document which is a pdf file of the actual permit.

To link the Document Type to the Unassigned file take the following steps

  1. Highlight the row in the Documents tab with the document type, e.g. ACS
  2. Click the ‘link’ button 
  3. This window shows all the ‘unassigned’ documents in the Documents tab.  a) Select from this list or, b) Click on Attach Local Docs to select a file from from another location
  4. Click OK to attach the physical file to the highlighted Document Type.

The original Document type will be updated to show the correct filepath, and the Unassigned row will disappear.

The link button is only available where the document row highlighted has a Document Type and the Filepath is missing.

Please Note: The Document Type ACS cannot be assigned to documents when files are added to the Documents Tab in the Customer Masterfile.  ACS documents are only added to Customers during the classification of parts which is existing functionality.  Use the link button  as detailed above to link a physical file to this Document Type.

The links to the Client Document Register have been removed from the Job Registration screens, Supplier Invoice and Customs Entry screens.  Use the option to access Client Details to see the Customer Masterfile Document tab

Archiving Documents

In addition to the manual archiving of documents (this is the same process that is currently available in the Jobs and Consols documents tabs) Expedient will check the Valid from and Expiry Dates each night to determine if a Document should be archived.  Any documents that are not yet valid (‘Valid from’ is greater than today) or have expired (‘Expiry Date’ is less than today) will automatically be archived.  Archived Letters of Authority will not be matched to Jobs.  Archived Packing Declarations may be matched to Jobs where the date range for the documents means it it valid for the ETA Destination date in the Job where this is provided, or Today’s date where ETA Destination is not known.  Archiving a Document in the Documents tab has the same purpose as marking a document ‘inactive’ in the Client Document Register.

Create your own Document Attributes

You can add your own attributes to your own Documents Types in the new Administration > Company Details Menu > Document Management > Document Attributes

e.g.

This attribute can be assigned to a locally created Document Type in the Administration > Company Details Menu > Document Management > Document ID Masterfile screen.  Local attributes cannot be added to Document Types created and maintained by Expedient

e.g.

The local attribute ‘my_attribute’ can be added to the local Document Type ZCCU.  The attribute can be made optional or mandatory when a user assigns that Document Type to a file in the Documents tab of the Customer Masterfile

Any documents created locally in your Document Register will be migrated to the Document ID Masterfile and assigned a new Document Type where necessary.

Expiring Permit Reports

Your Expiring Permit reports, automatic and manual, have been updated so they will pick up the attributes for documents in the Documents tab instead of the Client Document Register.

Document Register Report

This screen is still available in Administration to search on specific document types in your Customer Masterfile.  It has been renamed Customer Documents Report
