Release 10/05/17 – Document Management – Update Required Docs configuration

This release provides an update to the Required Documents configuration to allow users to set documents to Required or Not Required within the Job or Consol, and to show documents that are relevant to jobs with Dangerous Goods

The Required Documents Configuration screen has been moved to a new folder ‘Document Management’ within Administration > Company Details Menu

The Required Documents Configuration screen has been updated with new columns

The Required and Allow Update columns appear in all four Required Docs tabs

The List for DG column appears in the Import – Job and Export – Job tabs.

The Required column determines if the Document will be listed in the Required Docs table in the Job or Consol and is a mandatory required document i.e. documents that you require for some jobs, but not all jobs, can be listed in the configuration screen as Not Required so they will appear in the Required Docs tab in the Job or Consol but will not be need to be flagged as received to complete the ‘All Documents Received’ milestone.

The Allow Update column determines if the user can set the Required flag to Yes or No in the Job or Consol e.g. a QMD is sometimes required for jobs.  If the document is set as Not Required but Allow Update in the configuration screen, the users can see QMD listed in the Required Documents table and change the Required flag form No to Yes so QMD is needed to complete the  ‘All Documents Received’ milestone for that job.  This may be quicker than remembering to add QMD as a required document in the relevant jobs.

The List for DG column determines if the document appears for Jobs that are flagged with Dangerous Goods.  In Import and Export Air screens this is flagged in the Job tab, In Export Sea this is flagged in the Bill of Lading tab.  Set this column to Yes if the document should be listed for DG jobs, set the column to Not Applicable if the document should appear in the Required Docs tab regardless of the Dangerous Goods flag.

For example, in the screen shot above documents AAL, ARN, DGC and FTC will appear for all Import Air Jobs.

  • AAL and ARN will always show as Required
  • ARN is a mandatory document and is Required in order to complete the All Documents Received milestone
  • AAL is Required but can be updated by the user to Not Required to suit the job details
  • FTC automatically appears as Not Required but can be updated by the user to Required to suit the job details
  • DGC will appear as a Required document if the job is flagged as including Dangerous Goods but can be updated to Not Required

Expedient has some rules to determine what happens when there are conflicting rules in the Required Documents Configuration that apply to the Job or Consol and set whether the Required flag can be updated by the user, and whether the document is listed for DG

  1. If at least one of the configuration rows matching the Job/Consol for the same Document Type shows the Document is Required, the Required flag is set to Yes
  2. If at least one of the configuration rows matching the Job/Consol for the same Document Type shows the Document is Required and the Allow Update flag is set to No, the User cannot update the Required flag from Yes to No
  3. If at least one of the configuration rows matching the Job/Consol for the same Document Type shows the Document should be listed for DG, list the Document Type

Please note that when a user manually updates the Required flag, Expedient will not overwrite the setting to match the Required Documents Configuration the next time the Job or Consol is updated.
