Release 19/10/16 – Dashboard Graphs

This release provides information about a new Module that allows for Graphs to be displayed on the Main Menu as well as a TV.

Below outlines how the Graphs are integrated into Expedient.

The Main Menu can now be set to include a new tab called  “dashboard”. This tab displays up to 4 graphs ranging from operations KPI’s through to profit and revenue.  An example of the some of the graphs available are shown below

A range of graphs are available

  • Yearly Profit by Branch
  • Revenue by Department
  • Import Lodgement – Sea vs ETA
  • Import Lodgement – Air vs ETA/Available
  • Import Delivered – Air vs ETA
  • Import Delivered – FCL vs Vessel Available
  • Import Delivered – LCL vs Available
  • Import Jobs Invoiced vs ETA
  • Export Jobs Invoiced vs ETD
  • Revenue by Sales Person

The list of graphs provided to each user is based on Modules available and based on  their security menu access within Expedient.  For example, users will only see the Revenue and Yearly Profit graph options if they have access to the Management Reports > Freight Forwarding Summary menu option.

Each Job level graph is linked to the information behind it. For example, in the following graph

Double clicking on the column in the graph will open the Job Registration screen.  For example, click on the left hand column shown above to open the Import Job Registration screen at the first of 19 jobs that have outstanding invoices to be raised for ETA date 12/10/16.

Where the graph includes a date range the first column shows historical data.  For example, in the Import Jobs Invoiced vs. ETA graph above, the first column shows jobs with ETA from 03/10/16 to 08/10/16.  The next five columns shows the data for single ETA dates from 09/10/16 to 13/10/16.  The historical range is restricted by Expedient and the restriction depends on the graph selected.

Setting up Dashboard Graphs

Your view of the graphs is set up in the Administration > Company Details Menu > User Masterfile, in the Dashboard View tab.  Up to four graphs can be selected

Select a graph from the pull down menu in the Graph Name column.

Then click in the Field column of the bottom table to set up that graph.  The Field column displays a pull down menu of the elements of the graph that can be configured.  For example, the graph for Import Lodgement – Air vs ETA/Available allows you to set the Branch, the date range, and whether the date range is based on the ETA or Available date.  The list of fields available will change from graph to graph.

Setting up the Fields

  • Branch – select an individual Branch by using the zoom or entering the Branch Code, or select all Branches (use ‘*’)
  • Department – select an individual Department by using the zoom or entering the Department Code, or select all Departments (use ‘*’)
  • Sales Person – select an individual Sales Person by using the zoom or entering their username, or select all Sales Personnel (use ‘*’)
  • Import/Export – select from the pull down list Import, Export or Both
  • Date Range – this defaults to the days shown below.  This setting provides six columns in the graph; the first column shows historical data from 5 to 10 days previous to Today, plus five columns for each individual day, as shown in the Import Jobs Invoiced vs. ETA graph shown above.  Expedient restricts the historic range for speed efficiency, and the historic range and current range must run consecutively.  Less columns can be shown in the graph if the current range starts before Today, e.g. at 2 days prior to today.  This would result in 4 columns in total in the graph; one historic column, and three daily columns.

  • Show on Chart – this setting allows you to change the data manually in the graph from within your Dashboard view.  For example, if you set up the graph Import Delivered vs ETA (Air) with the Branch configured to ‘Show’ as below  the graph in your Expedient Dashboard graph tab will include a Branch field.  Click on the down arrow to see a list of all the Branches at your site. Select a Branch and the graph will instantly refresh to show only the data for the selected Branch.The Show on Chart option is also available for Department, Sales Person and Import/Export.
  • Click OK.  The next time you log into Expedient you will see the Dashboard tab and a tab for each graph you have set up to View.

Use the  button in the screen Dashboard tab to reload the graph with up-to-date data.

TV view of Dashboard Graphs

The Dashboard Graphs can be set up to display on a large TV screen for constant monitoring by your teams.  The TV view can be set up to show four graphs simultaneously and these will refresh automatically.

E.g.

To set up a TV View

  • go to Administration > Company Details Menu > User Masterfile and create a new user specifically for the TV view.
  • Set up the required graphs
  • then go to Options > User Options and tick Area ‘TV_USER’.
  • When the new TV user is logged into Expedient, select Dashboard for the graph screen to appear.
  • Maximise the view.

This screen can be left open and the data will automatically refresh every 5 minutes.  The date/time the data was last refreshed is shown on the screen.
