This release provides the ability for Expedient to check if a valid Letter of Authority exists for all Suppliers on an Entry on preparation of the Entry and can stop submission of the Entry. An override facility is also provided for selected Users. Please contact Expedient Software through Support Tracker if you would like this check at Entry Preparation, Entry Submission or both.
Check for valid Letter of Authority on Entry Preparation
If Expedient is set up to check for valid Letter of Authority on Entry Preparation the following will happen:
- If there is an active Letter of Authority for the Client in the Client Document Register with no Supplier Code this passes the check at Entry Preparation

- If there is an no active Letter of Authority for the Client or for the Client and one or many Suppliers on the Entry, i.e. the Entry includes a Supplier Invoice for Supplier SUP0510 in the screenshots below

OR

Expedient will show the following warning on Entry Preparation. There will be a warning line for each Supplier in the Entry that does not have a valid Letter of Authority recorded in the Client Document Register

Check for valid Letter of Authority on Entry Submission
Expedient can check when the Submit Entry and the Submit and Pay options and toolbar buttons are used.
- If there is an active Letter of Authority for the Client with no Supplier Code Expedient will continue with the submission process
- If there is an no active Letter of Authority for the Client or for the Client and one or many Suppliers on the Entry Expedient will stop the Submission process with the following message

The block on Entry submission due to missing Letters of Authority can be overridden by certain users.
A new user option has been added to the User Masterfile

If the User Option LOA_OVERRIDE is ticked the User will see the following message on Entry Submission

Please note only Expedient Super Users can update User Options.
Users who select to override missing Letters of Authority can be tracked using a new automatic Report, Report Code LOAOVERIDE.

An Entry where the Document Register has been updated with valid Letters of Authority since the Entry submission will not be included in this report.
