The Customer Masterfile within the Administration Menu Option in Expedient stores details of your Customers, Creditors and other stakeholders of your day to day business.
Expedient can help automate aspects of job registration and accounting if the Customer Masterfile is contains the right details.
Setting up the Customer Masterfile for the Debtor correctly can help ensure that operators met the client’s service expectations and follow company procedures.
This guide will provide a step by step flow through adding a new Debtor to your Expedient system and explain how certain fields in the Customer Masterfile can help automate your daily processes.
Creating the basic Customer Masterfile
Step 1: Main Menu – Administration – Customer Masterfile. You may also have a shortcut to the Customer Masterfile in the ShortCuts tab on your Expedient dashboard.

Step 2: Add Button / “A” Key
Step 3: Enter each field data, where applicable. Use the Tab button to advance to the next field.
Step 4: In the Company Type set Debtor to Yes. Importer s and Exporters automatically become Debtors and automatically makes the Debtor ‘Active’. This means the Importer or Exporter can be used when creating new jobs. If this Debtor is no longer required update the Customer Masterfile to Inactive and users will not be able to create new Jobs using the Customer code.

Step 5: Tab to the Debtor Tab. Enter the details as required.

Sales Person
This is the person that looks after the Sales Account. The Sales Person will automatically appear in each Job Registered for the Debtor and will appear on reporting.

Responsible Person
This is the person responsible for chasing Debtor Payment. This appears in ATB reporting
Responsible Office
This is the Branch responsible for chasing Debtor Payment and appears in ATB reporting
Invoicing Control
These section controls how the terms for the Debtor
Agreed Terms
This indicates if there are agreed terms for the Debtor.
Credit Check Date
This is the date the Credit was last checked.
Account Control
This field controls if invoices can be raised for the Debtor. If the value is negative invoices cannot be raised.
If the value is negative invoices cannot be raised. A message will appear when jobs are creating or when charges are prepared for invoicing

The Account Control can only be updated by selected users (set up in their User Options in the User Masterfile).
