Release 28/01/16 – AU/NZ Export Forwarding – Export Cartage Docket

This release provides an update to the Export Cartage Dockets available from Export Sea Job Registration and Export Air Job Registration.  The Export Delivery Docket is renamed to ‘Export Cartage Docket’.

The Sea and Air Export Dockets have been updated with improved screens to store more details and provide more automatic population of information stored in the Shipper’s Customer Masterfile.  The printed dockets have been updated to show more detailed information.

Export Sea Job Registration

This screen has been updated to provide more details in the Container Tab to allow jobs to have multiple delivery types and carriers appropriate for each container, and provide tracking of delivery of each container to the Export Consignee

  • Delivery Type
  • Container Type – NZ ONLY – the codes defining the type of container, e.g. 20′ General, have been updated to the ISO standard container codes, rather than NZ Customs codes.  The Customs screens will continue to show the NZ
  • Carrier
  • Full Pick up Address code
  • Delivered Date/Delivered Time – this is the date and time of delivery to the Consignee.
  • Custom Field 1/Custom Field 2 – these columns can be used to store order numbers for each container

The Various Details tab has been updated to show the final delivery date and time to the Consignee.  These fields will automatically populate when the final container on the job is delivered to the Consignee.

FCL Export Cartage Docket screen

The FCL Docket is used to provide the cartage company with the empty container pick up details, details of the packing location and details of the delivery of the full container to wharf for export.  Details of the empty containers required can be added here, sent to the Cartage company.  This information will automatically populate the Container Details tab.  This means the information is only required to be added to Expedient once to provide information to the Carrier and to complete the Export Forwarding/Customs Job.

On selecting the Docket tool bar button in the Export Sea Job Registration screen the following updated Docket screen will appear

This screen has been updated to show a table of the containers required to be picked up from the empty depot.  Different container types, delivery types, and required dates/times of Empty pick and Full return to wharf can be listed.

  • Delivery Type – this can be stored permanently against the Pick up Address and automatically populate the Export Cartage Docket screen
  • Carrier – the preferred carrier can be stored for the Shipper, Job Type and Port of Origin and automatically populate the Export Cartage Docket screen
  • Approx Weight – this provides the carrier with the approximate gross weight expected for the full containers
  • Required MT Date/Time – inform the Carrier when the empty containers are expected to be picked up from the Empty Depot
  • Required Full Pick up Date/Time – inform the Carrier when the packed containers are expected to be picked up from the Shipper’s Pick up address
  • Full Pick up Address code – these are the stored in the same place as Delivery Addresses for Import Customers in the Customer Masterfile.  Set an address as the default Pick up address for the Shipper so this field is automatically populated with the correct address code every time for the Shipper.

The information is shown in the docket as below

When the docket is printed or emailed to the selected Carrier the container information will automatically populate the Container Details tab of the Export Job Registration screen.

E.g. the details above show the Shipper requires 1 x 40′ General and 2 x 20′ General.  These containers will appear automatically in the Container Details tab as shown below.  Each container required to be picked up empty from the container depot will be shown in a separate line. The Container Number will show ‘TBA’ so this will need to be updated for completion of the Fowarding/Customs Job when the actual Container Numbers are known.

If an additional Export Cartage Docket is created the containers required to be picked up empty for the new docket will be added to the containers already listed for the Job. E.g the Shipper has requested the three containers shown above.  At a later date the Shipper requests an additional 40′ General.  The new Cartage Docket, when printed, will add a fourth container, TBA4, to the Container Details tab.

Mass update Export Container Delivery Date

This release includes the ability to add Delivery Dates of many export containers and/or export jobs to Expedient through one screen.  Go to Sea Export Forwarding>Update Delivery Date

Enter the details manually or load the information from a csv file.  If the Export Sea Job Number and the Container Number is provided Expedient will add the delivery date and time to that Container only.  If the Container Number is not provided Expedient will update the Delivery date and time for all the containers on the job and update the Export Sea Job itself.  The details can be loaded from a CSV file, using the Load Delivery Dates toolbar button, that has information in the following order.  The listed Mandatory items must be included in the file.

  1. Job Number (mandatory)
  2. Container Number (optional)
  3. Delivery Date (mandatory)
  4. Delivery Time (Optional)
  5. Signatory (Optional)

User Configured Auto Reports – Export Jobs

The additional Container details are available as new output columns in the User Configured Automatic Reports for Export Jobs

  • Container Pick up address code
  • Container Pick up Address details – if the report shows a separate row for each container i.e Containers are not ‘rolled up’.
  • Container Carrier Code
  • Container Carrier Business Name
  • Container Custom Field 1
  • Container Custom Field 2
  • Job Delivery Date/Time to Consignee
  • Container Delivery Date/Time to Consignee

Air Export Consol Registration

This screen has been updated to include the Air Export Receiving Terminal.  Use the zoom to search for Terminals listed in your Customer Masterfiles.  The Receiving Terminal Code will be added to any Air Export Jobs added or linked to the Consol.

Air Export Job Registration

This screen has been updated to include the Air Export Receiving Terminal.  Use the zoom to search for Terminals listed in your Customer Masterfiles.  The Receiving Terminal Code will be included when the Copy Job function is used.  If the Job is linked to a Consol the Receiving Terminal in the Consol will populate the Job.  If the consol is updated the Receiving Terminal in the Job will be overwritten with the new details from the new Consol.

Air Export Cartage Docket

The Docket screen available from the Air Export Job Registration screen has been updated to remove the fields irrelevant in Air Export.  The Air Export Cartage Docket has been updated to include the Receiving Terminal details.
