Release 20/05/15 – Accounting – Auto Job Only Profit Journals & Set Bulk Criteria

Expedient now allows:

  • ability to store and maintain rules to automatically create a Job Profit Journal along with automatically posting the Journal. This saves valuable time manually creating Job Only Auto Profit Journals.
  • The Bulk Criteria in the Job Journals screen has been updated to include a value range. This allows you to create a journal for the job profits which fall within an acceptable range.

Automatic Job Profit Journals

Expedient now has the ability to find Job Profits in the WIP to your specified rules and automatically create and post a Job Profit Journal overnight.

A new menu option has been created in Admin>Company Details>Auto Journal Maintenance

Job Only Auto Journals Maintenance

This screen allows you to add and maintain rules to automatically create Job Only Profit Journals for WIP Jobs and post them overnight.

See below for examples of when this could be used:

The screen can store a rule to automatically take up profit on Cartage where the Job is Import Air and on a Consol within a specific Department and the profit on the Job falls within a specified % profit range.  This is helpful where the cartage costs within a Department for Import Air are consistent.  This rule takes up the majority of the profit and allows you to investigate the remaining items in WIP for Cartage where the profit value is unusually small or unusually large.

The screen can store rules to always take up Terminal Handling Charge profit on Import and Export Sea and Air Jobs with or without a Consol and regardless of the Department.  Where Job Class is ‘Not Applicable’ this means the rule may be applied whether or not there is a Consol.

The screen can be used to set a rule to automatically take up profits on Jobs for “Delivery Order Fees” for Import Sea Jobs on FCL Consols.

Please Note: If a specific Job Class is selected or ‘ALL’ is selected the Job must be on a Consol for the rule to be applied.

Expedient will create and post an automatic Journal every night matching all the active Auto Journal rules.

Automatic Journals are posted as part of the overnight process with the user name ‘AUTO JNL’.

The automatically journaled profits can be found in the Job Financial screen for the Job.  Click on  toolbar button.

Reassign Account Maintenance

This option is helpful in AU.  AU Customs Fees are received into Expedient on Account Number 2305 (ACS Processing Fees) but may be billed to your client on Account Number 2300 (Duty GST and Customs Fees)

Expedient can find all negative values for the Account Number in the screen matching positive values for the Reassignment Account Number and create Journals as part of the automatic overnight process to reassign the values to the new Account Number.  The Journals will be automatically posted as part of the overnight process with the user ‘AUTO DUTY’.

E.g.Account Code 2305 is to be reassigned to Account Code 2300 according to the above screen shot.  The overnight process finds a Job with Account Code 2305 of value -$95.  The Job also has Account Code 2300 with value $95.  This means the Job has a cost of $95 against Account Number 2300 (Duty GST and Customs Fee) and billed $95 against Account Number 2305 (ACS Processing Fees).

 A Journal is automatically created to debit Account Number 2305 with $95 and a Journal is automatically created to credit Account Number 2300 with -$95.  The Account Number 2300 is now balanced and shows no costs and no profit, and the Account Number 2305 is balanced with $95 Costs and $95 Billed out.

Job Journals – Bulk Criteria Value Range

This facility within the Job Journal screen has been updated to include a value range.  This function is useful when The Expected Costs slighter Differ from the Actual Costs and a small Journal Entry is required for the remainder. The below allows the user to specify an Amount range for the system to look for. Once the results show the user just needs to click OK to complete this process

Expedient will create a Job Journal matching the value range.
