Release 130717 – AU/NZ Customs – Automatically Email Import Declarations to Clients

This release provides the ability to automatically send the Import Declaration to your Client as soon as it is received from Customs. The EFT Receipt from AU Customs and the Delivery Order from NZ Customs can also be automatically emailed on receipt. Note: If you would like to use this facility please contact Expedient Software to make this feature active at your site.

Set up each Client to receive the documents

The Customer Masterfile has been updated with new configuration in the Importer Tab. An “Automatic Emailing” section has been added. Set these flags to “Yes” for each client that will receive the documents automatically by email.

Set up Client Contacts to receive the Documents

Ensure that there are Personnel contacts at the Client who receive the appropriate Document Distribution Group.

e.g.

There must be at least one Personnel Contact at the Client that receives the appropriate documents. The document can be forwarded to one or many contacts. Expedient will warn you when if there is no contact to send the document to when you update the Automatic Emailing flags in the Customer Masterfile, and when you are in the Entry screen.


Not Supported

When the warning is displayed update the Personnel Contacts at the Client with the appropriate Document Distribution Group.

 

What is sent to the Client?

When the Import Declaration or the EFT Receipt is received from AU Customs, or the Import Declaration or the Delivery Order is received from NZ Customs, the documents will be automatically forwarded to the client provided;

  • Your site has been set up by Expedient Software with the automatic email function and,

  • The document flags have been set for the client in the Customer Masterfile and,

  • There is at least one Personnel contact at the Client set to receive the appropriate Document Distribution Group.

 

The contact will receive an email with the document attached as a PDF file

e.g.

The automatic emailing triggers an ‘EML’ event which can be seen in the Events window using the toolbar button in the Import Job Registration screen. Details of whom the email was sent to can be seen using the button in the Events screen.

 

Setting up Documents to automatically forward to External Systems

This update also provides the ability to forward the documents on receipt from AU Customs and NZ Customs to external systems. A new screen is available in the Administration folder, Autoforward Documentation. This screen allows users to select which documents are automatically forwarded and the method of forwarding.

 

Add Disclaimer text to all automatically sent emails

A screen has been created to add and maintain disclaimer text sent with each automatically sent email.

The Email Disclaimer Text screen can be accessed from the Administration>Company Details Menu.

Select the Trading Name the disclaimer text is appropriate for or leave the Trading Name blank to apply the text to all automatically forwarded messages.
