Release 24/11/21 – Accounting – Create Creditor Invoices from the Job Charges Table

In this release we have updated some labels within the Charges Table and have added additional columns. You can now enter your Creditor Invoices details directly into the table.

You can now enter the Creditor Invoice Number, Currency, Exchange Rate and Actual Cost amounts directly into the table. If all of these have been entered, you can use the  button to automatically create the invoice for you.

When this button is clicked, a Create Creditor Invoice modal opens. This sums all amounts listed on the charges table and displays a single line for each creditor invoice number, creditor code and currency combination.

The header information for the Creditor Invoice can be edited within this modal and will flow back onto the Charges table. The GST column can be used to add GST amounts to your creditor invoice. This will apply the GST percentage listed in the Alpha Charge Code Masterfile to the relevant lines and show the summed GST amount in the column.

Ticking Create Invoice against the line, will create a record in the Creditor Invoice Entry screen. If you do this, you cannot add any more lines to the invoice however you can adjust the individual charge line amounts. If you tick Post Invoice it will also post the invoice on OK and the record will go immediately to the Creditor Invoice Enquiry screen. Once an invoice has been created from this modal, the line will get locked on the charges table. If the debtor invoice has not been created for the charge line, you can still enter these details. Alternatively, leaving both of these unticked will not create the creditor invoice and the lines will remain on the Job Charges table for you to amend.

If you have not entered a Creditor Invoice Number against the charge lines, when you select Create Creditor Invoice, the Creditor Invoice Entry screen will open in ADD mode for you to populate.
