Release 09/06/21 – Vessel Masterfile – Updated screen, history screen, and new automatic reports

This release includes improvements to the Vessel Masterfile accessed from Administration -> Masterfile Management -> Vessel Masterfile

These updates allow multiple sources to add to the Vessel Masterfile and flow updated vessel information to the relevent consols, jobs and bookings

The changes improve visibility of the source of the vessel masterfile update, and which consols, jobs and bookings have been corrected by each vessel/voyage update

The new look Vessel Masterfile has reorganised the voyage information details to show Arrival information, followed by Departure information.  The screen will show the current voyage for the vessel, based on arrival dates and local ports.  The ‘Show future voyages’ toggle button can be used to display any further voyages provided by the vessel information sources e.g. 1-Stop.  Expedient will remember the toggle setting from the last time the screen was used

The updated Vessel Masterfile replaces the Lloyds Vessel Masterfile.  The Load File button within the Vessel Masterfile screen above is available to load vessel movements from Lloyds.  Use the LLOYDS VESSEL SCHEDULE template to quickly load a Lloyds csv.  The Load File button is also available to load Port Connect vessel movements in NZ. Use the PORTCONNECT VESSEL SCHED template

The final columns in the Vessel Masterfile show which source last updated the row, and when, followed by who corrected the row and when.

This allows much clearer traceability of updates and corrections to vessel information.  When the Load File option is used, the user name will be shown as the Source

The option ‘Vessel Schedule History’ provides more tracking information on updates from the vessel information sources, and indicates which consols, jobs and bookings were updated by each update

Enter search criteria, including at least one date range.  Green highlighted rows indicate that the vessel masterfile update led to automatic updates of consols, job and/or bookings

Double click on a green row to find the list of consols, jobs and/or bookings that matched the vessel/voyage/port and were evaluated for update

The screen shows the vessel information that was received in the update, and lists the jobs, bookings and consols that were evaluated for update.  Double click on a row to open the job, consol or booking on that row.  The list can be output to csv for reporting purposes

The Vessel Schedule History will show rows in grey if the source included vessel information for a vessel that is not in your Vessel Masterfile.  This can be a prompt to update the vessel masterfile with new Vessel Codes, Names and Lloyds numbers

The Vessel Schedule History will show updates received until 3 months after Actual Time of Departure (ATD).  If no ATD date exists, ETD will be used to calculate when the history record can be removed

Updates have also been made to the reports automatically triggered by 1-Stop updates to the Vessel Masterfile.  The configuration for these reports has been moved from the User Options in Administration -> Corporate -> Users Masterfile to Report Scheduling -> Shelved Report Scheduling.  If you were already receiving the reports trriggered by the User Options, you will continue to receive the reports via Sheduled Report Scheduling

The reports will now include any updates to Expedient, not just vessel movement updates provided by 1-Stop.  Each report output has been updated to include the date and time of the update.

The shelved report replacements have been set up on release to run at 2 hour intervals, matching the normal 1-Stop file schedule.  The schedule for each report can now be adjusted to suit the recipients requirements.

The First Port and First Port ETA report, previously available from the original Vessel Mastefile, is now available as an automatic report in Report Scheduling -> Shelved Report Scheduling: Report Code FIRSTPTCSV, FIRST PORTS AND FIRST PORT ETAS FOR VESSEL ARRIVALS
